RMCS: Donation and Appearance Requests
We receive many requests for donations, autographs and public appearances. NCAA, SEC, and UT rules regulate the manner in which coaches, staff and student-athletes may participate in such activities. Any use of a UT coach, staff, or student-athlete’s name, picture or appearance requires prior approval by the Texas Athletics Risk Management and Compliance Services Office to ensure it is permissible.
Autographed Item Requests
Due to number of requests received, the time demands created for our student-athletes and the difficulty of monitoring NCAA rules in this area, The University of Texas at Austin cannot honor requests for student-athlete autographed items. Sports may hold Fan Days at which there may be opportunities to obtain student-athlete autographs, so watch texaslonghorns.com for these events!
Our policy with regards to honoring coach autographed item requests recently changed to ensure compliance with NCAA and University regulations. Charities, non-profits, or educational entities desiring items autographed by a coach of staff member may purchase them through the Texas Longhorns Official Team Shop (formerly Longhorns, Ltd.). Donation Requests
NCAA rules place strict guidelines on the donation, sale, or use of athletics items. Given the many worthy causes from which Texas Athletics has received requests in the past, ensuring compliance with these rules placed considerable demand on our staff. While Texas Athletics values the support of the many individuals and organizations that have requested promotional items over the years, the primary focus of our staff must be serving the best interests of our student-athletes.

Poster Distribution Policy
Texas Athletics receives a limited quantity of posters that are available and free to the general public for designated sport programs. While supplies last, posters are available for all sports while supplies last on non-game days, through the Texas Longhorns Official Team Shop (formerly Longhorns, Ltd.) on the west side of Darrell K Royal-Texas Memorial Stadium. Fans may pick up a maximum of three posters per person at these locations.
On game days, sport specific posters (football, baseball, men's and women's basketball, soccer, softball, and volleyball) are available at designated marketing tables only at their respective venues while supplies last.
Posters may also be mailed to fans who send a mailing tube with their return address AND the required return postage (First Class Mail; three posters cost approximately $5.00 to mail). Please note that Texas Athletics cannot accept ANY form of payment for shipping poster tubes. Return postage must be included with the poster tube that you send. Please also include a note specifying which posters and the quantity that you are requesting (up to three per sport). Mailing tube(s) should be sent to:

Coach and Staff Appearance Requests for Public Relations, Community Service, Non-Profit or Charitable Activities
All requests for a University of Texas coach or staff member appearance must be approved though the following procedure:
- Individuals or groups requesting a coach appearance should complete the Coach/Staff Appearance Request Form and submit it to compliance@athletics.utexas.edu.
- The Athletics Risk Management and Compliance Services Office will forward the request to the applicable coach/staff member for their review, schedule permitting.
- If approved by the coach/staff member, the request will be forwarded to the Athletics Risk Management and Compliance Services Office for review to determine if the appearance is permissible under NCAA legislation. If approved, the appropriate coach and/or sport's administrative assistant will be notified.
- The administrative assistant will coordinate the logistics of the appearance with the agency/organization, if approved. Please note a coach/staff member may not attend any event without the approval of the Athletics Risk Management and Compliance Services Office.

Student-Athlete Appearance Requests for Public Relations, Community Service, Non-Profit or Charitable Activities
All requests for a University of Texas student-athlete or team appearance must be approved through the following procedure. Requests must be submitted, at a minimum, several weeks prior to the event or activity date. Requesting agencies must complete and submit the Student-Athlete Appearance Form located below. Questions regarding student-athlete appearances may be directed to the AFTERTexas office in Student Services at community.service@athletics.utexas.edu. Texas Athletics cannot guarantee specific requests will be fulfilled.
Note the bullet points below for further information:
- A student-athlete may not attend functions which cause them to miss practices, competitions, classes, study sessions, summer school, medical appointments or other institutional obligations. It is extremely difficult for student-athletes to fulfill requests during their official playing season.
- Requests to utilize a student-athlete's name or image to promote the commercial sponsors or supporters of a charitable, educational or nonprofit agency WILL NOT be approved. Texas Athletics Risk Management and Compliance Services (compliance@athletics.utexas.edu) can provide more detail regarding these restrictions upon request.
- Student-athletes may neither endorse nor promote commercial products or retail businesses.
- Non-athletics University groups, non-profit agencies and charitable agencies MAY NOT use UT trademark logos, including the Longhorn silhouette logo, for promotion of their activity even if a student-athlete is participating in the function.
- Fund-raising activities associated with student-athlete appearances must directly benefit the University, a University group, or the charitable, educational or non-profit agency.
- With any appearance or activity, student-athletes may not accept benefits in excess of actual and necessary expenses to attend the function.
- Sales of items that utilize a student-athlete's name, picture or likeness are strictly prohibited.
- All uses of student-athlete images on web sites, collateral material, publications, invitations, programs and other items must be sent to Texas Athletics Risk Management and Compliance Services (compliance@athletics.utexas.edu) for proofing and approval. No exceptions.
